How to recover deleted or lost files

It’s a sickening feeling, the moment you realise that some important document, or irreplaceable photos have vanished from your computer. But that is no reason to despair. The chances are that the data is still present, even if you know you deleted it. Your computer operating system just does not know how to find it any more.

The four most common reasons for data loss are:

* Deletion. You deleted the file by accident during a disk cleanup, or because you thought it was no longer required. It is not in the Recycle Bin. However, the data will still exist until the space it occupied on the disk is are-used by another file.
* Overwriting. You saved a new file over the top of the old one. However, the old data may still exist, and be recoverable.
* File system corruption. The disk suddenly appears empty, or the file and folder names contain gibberish. The files probably still exist, but the pointers to them have been lost or corrupted and the operating system cannot find them.
* Physical damage or hardware failure. You receive error messages when you try to read the disk, or it is not recognised by the computer at all. The data is still likely to be present on the disk itself, but the drive is incapable of accessing it.

In each case, there is a good chance that the data still exists. The computer operating system isn’t able to see it, but data recovery software may be able to. If the problem is a hardware failure then a data recovery service may be able to get back the data using special equipment.

Prepare for data recovery

There is one cardinal rule of data recovery: for the best chance of recovering the files you must not write any new data to the disk they were stored on. The old data will only remain on the disk until the space it occupied is used by another file. If the disk is your computer’s main drive, then the drive is being written to all the time. You should turn off the computer immediately, and use another computer to search for a solution to recover your data. You should put your computer’s hard disk in another computer to do the data recovery, or use data recovery that runs from a CD or floppy disk, because installing the data recovery software on the drive could overwrite the very data you want to recover.

Choosing the data recovery method

Data recovery tools use different methods to try to recover data. Some tools are designed for recovering deleted files, others are better at restoring overwritten files, or recovering files from disks that are physically damaged. Some data recovery software products have been developed specifically for recovering photo images, or Microsoft Word or Excel document files. Such products may succeed where others fail because they understand what these files look like, and can recognise their data when other clues to its existence have vanished.

It can be difficult to choose the most appropriate data recovery method. Tech-Pro has created a website called Get Data Back. It has a Data Recovery Wizard that asks questions about the data you have lost and how it was lost, and then recommends the product that is most likely to be successful. It will also advise you if it would be better to use a professional data recovery service. Give the Get Data Back data recovery site (http://www.get-data-back.com) a try if you need to recover lost files.

What do you do if your RAID server fails?

RAID server failure is one of the dreaded work hazards you may have to face sometimes at your workplace. You tend to become incapable and powerless when you are unable to access data with a click.
Data on a RAID array or volume can becomes inaccessible due to any of the following reasons:
• A faulty RAID controller
• Multiple hard drive crash
• Malfunctioning upgrade or faulty striping
• Defects with the MFT mount points.
• RAID controller failure or configuration changed
• Adding incompatible hard drives
• Hardware conflicts
• Software corruption
• Virus infection, software and operating system upgrades
In these above conditions, the following steps should be taken immediately to increase chances of getting critical files back:
• Shutdown the server and turn off the system. Do not try to reboot again. This may cause serious damage to your hard drive.
• Do not attempt to recover data by yourself, friends or PC repair shops. This may result in permanent loss.
• Do not continue to attempt a forced rebuild if you have already replaced a failed drive and tried to rebuild the array, but still can’t access your data. This may wipe out your data. RAID data recovery utilities and software are not designed to restore data or rebuild RAID arrays from failing hard drives. This requires specialized equipment and professional training.
• Swapping hard drives or re-ordering drives in a multiple drive RAID array may cause overwriting the striping and parity. This makes it nearly difficult to reconstruct your RAID array and salvage your company’s vital data.
• Seeking professional help from professionally trained data recovery engineers is the sanest solution. Most data can be recovered from crashed hard drives and malfunctioning RAID servers by these experts only.
What do Professional data recovery engineers do?
Professional data recovery engineers have specialized equipment, a thorough knowledge of hex, drive structures, MFT mount points and offsets.
The Professional engineers’ initial diagnosis determines whether each media device is accessible to their lab equipment. From all the data accessible to them from each media, they make a raw image onto a new media to help them analyse and assess the data loss. If some of the media is difficult to get hold of, they will test the components and closely check its internal condition to assess the level of physical damage sustained. The damaged components include electronics, read/write heads, magnets, drive motors and head assemblies.
The raw images of the entire server’s media are used for logical recovery by examining the low-level data sectors. Determination of both the exact layout of volumes, which span or are striped across multiple drives, is a must. Necessary fixes to the file system structures are to be decided upon to get access to important data.
Servers that work on multiple drives are usually “destriped” onto a different media so that file system repairs can be done and the data files retrieved. It may be necessary to extract data directly from one or more fragments of the destriped image.
Professional programmers in this field have created a full set of software tools used by data recovery engineers to analyse, destripe, fix & recover data from raw images drives to virtually all operating systems. The Validity of information is checked once a recovery has been successfully performed, and file lists created.
A file recovery list is produced when your data is recovered. You can verify that your critical files are recoverable. The process usually takes 3-5 days though emergency data recovery services are also available.

Data Recovery and Your Computer

Have you ever wondered if what you know about data recovery is accurate? Consider the following paragraphs and compare what you know to the latest info on data recovery.

Sooner or later your company could become the victim of a natural disaster, or something much more common like a lightning storm or downed power lines.

Just because your company may be a small business doesn’t mean it’s immune to data disasters. If a small business does not have a good and tested disaster recovery plan in place when disaster hits they may never fully recuperate and it may even cause them to go out of business. Sometimes even a data recovery service is unable to be of any help.

Following are some questions that should be answered in order to give you some idea of what you need to do to that will help you if you do have a data disaster situation.

Do you know where your company’s most important data files are located?

Are these files being backed up and by what means?

How often do you run these data backups and are they verified and tested?

Do you have automated controls that correctly and on a consistent basis do the backups?

Do your data backup tapes go off-site and how often?

Do you have some kind of security against tampering or theft of your data backups?

Do you keep your servers, routers, hubs, and phone system controllers in locked areas to keep them more secure?

Does just anyone have access to your servers and your other technology assets or do you limit access to at least two, but no more than four people?

Do you run a locally securable operating system, such as Microsoft Windows 2000 Professional, Microsoft Windows XP, or Microsoft Windows NT Workstation 4,on the company’s desktop PCs and notebooks?

Do you have any confidential data stored locally on any desktop PCs or notebooks? Are any of these systems running an inherently in-secure operating system, such as Microsoft Windows 9x or Microsoft Windows Me?

Do you prevent unauthorized boot-ups or tampering with BIOS configuration settings by using power-on passwords?

On your desktop PCs and notebooks, how are main updates, service packs and releases kept current?

The bottom line is that you can’t plan when a data disaster may strike but taking a few steps beforehand may help with your company’s survival in the days and weeks following a disaster.

Offsite Data Backup – Be Very careful who you deal with!

The concept of offsite data backup is not new; some time ago it was only available to corporate institutions that had multiple locations, high connectivity speeds and very high budgets. Today the cost of hardware and high speed connectivity has greatly reduced, as a result the number of companies offering backup to a remote location has greatly increased. For purposes of conversation, we can call it jumping on the band wagon.

You may think the increased competition is good for the consumer, to an extent, I agree, but not at the cost of cutting corners and jeopardising the security of your data. We all know and agree a company’s data is its most important asset, and to lose or give access to your competition such an asset is never an option. So please be careful where you store your data.

The general idea of offsite backup is a good one, after all it has a very low proportionate implementation cost and as the correct system should be completely automated the cost of ownership is also very low as well. Unlike tape backup it is also very scalable, you can start small and grow into larger solutions as and when you require with zero disruption but you have to be with the right offsite backup company in the first place.

In today’s data centric environment even smaller companies may have more than one server, just for example a server for Microsoft Exchange/Lotus Notes, a server for Microsoft SQL/Oracle/MySQL and potentially a file and print server, or maybe a single server which carries out all tasks. Smaller companies may still use older inherited Unix based or Novell based systems or may be considering migrating to a lower cost Linux environment. Whet ever you currently use or what you may use in the future your offsite backup solution will need to adapt. Please check, what ever backup company you use, make sure they are always developing their products for the future, your companies future.

Getting data to an offsite location is the easy bit, anybody can click and drag to an ftp site, to optimise your backup and more importantly your recovery times make sure your data is compressed locally or at source. The most important element of any data transfer is security, make sure your data is encrypted before it is transmitted and remains encrypted whilst in storage if this is the case only your organisation will have access to your data.

In what environment is your data stored? There is no point just moving your most important asset to another location, make sure it is totally safe, data should only be backed up to a class 1 data centre with the highest security and safety measures in place, hardware should be clustered so there is no single point of failure within that data centre and for added security and peace of mind the whole data centre and hardware within should be a replicated in real time to a second location in preferably another country.

Imagine your local data backed up every night or when ever you wish to a secure remote location in the UK and then replicated in real-time to a second data centre in a different country.
Finally this whole process must be as efficient as possible. It must be totally secure, fully automated ensuring your staff are focussed on revenue generating functions, it must support open files enabling you to backup regardless of what your systems are doing and it must be capable of incremental backups, after all there is no point re-transmitting a file which has not been accessed for a year.

So after reading this article I now hope it has made you think and understand why the cheapest offsite backup solution is rarely the best.

How to recover lost photos

It happens all too often. You’re downloading your latest snaps from your digital camera, and the computer freezes. After you restart and try again, there appear to be no pictures in the camera. Or perhaps the photos were on your hard drive and you deleted them accidentally, or you didn’t have a backup and your hard drive failed.

Whatever the cause, there is no reason to panic. The computer may no longer be able to find your pictures, but it’s unusual for a fault to completely wipe them from the storage card or disk. With the aid of some inexpensive data recovery software, you’re almost certain to be able to get your photos back.

There are many data recovery programs on the market, but for photo recovery I strongly advise using software specifically designed to recover digital images. This kind of software has several benefits, not least the ability to show a preview of every recovered image. Often, data recovery tools find files that look like they might have been a digital image, but aren’t. The preview feature saves you wasting time recovering files that turn out to be junk.

Another advantage of specialised photo recovery software is that it looks only for photo image file types. It knows what JPEG and other image files look like on disk. This improves the chances of a successful recovery, and reduces the number of junk files that are found.

Modern data recovery software is easy enough to use that anyone can do it. You just start the software and tell the program where the drive containing the missing images is. The software scans the drive looking for the patterns that it recognizes as photo image files. When it has finished, it will display a list of files, with thumbnail images showing the content. All you have to do is select the photos you want to recover, and safe them to a safe place on your hard disk.
